We collect personal information that you provide directly to us (e.g., name, email, phone number, physical address, DOT number) and vehicle-specific details (make, model, year, VIN, license plate, odometer readings, and repair photos). We also collect transaction records related to payments processed through our third-party payment gateways. If you enable browser push notifications, we also store the push subscription endpoint and encryption keys your browser provides so that we can deliver notifications to that device.

3. How We Use Your Information

We use the collected information to: (a) Provide, operate, and maintain our repair services and customer portal; (b) Generate estimates, invoices, and process secure payments via Stripe; (c) Send service updates, payment reminders, and PDF invoices; (d) Comply with legal obligations, including US Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMCSA) annual safety inspection record-keeping regulations.

4. Sharing of Information

We do not sell, rent, or trade your personal information. We only share information with trusted third-party service providers who assist us in operating our business (such as Stripe for payment processing, SMTP servers for email delivery, and Cloudflare Turnstile for bot prevention). Our Labor Guides tool also sends limited vehicle information (year, make, model, engine, and service description) to Google's Gemini AI service to generate maintenance and repair guidance for our technicians; see Section 5 below for details. We may also disclose information to satisfy applicable laws, government audits (e.g. DOT audits), or enforce our terms.

5. AI-Assisted Labor Guide Tool

Our internal staff tool, Labor Guides, uses Google's Gemini AI service to generate maintenance schedules, fluid specifications, common repair information, and parts-and-labor estimates for technicians and administrators. When staff use this tool, we send the vehicle's year, make, model, engine, and a description of the requested service to Google's AI model — we do not send customer names, contact details, payment information, or other personally identifiable information as part of these requests. AI-generated output is provided for technician reference only and is not independently verified against manufacturer specifications; it should not be treated as a final quote, official labor time, or manufacturer guidance.

6. Data Security

We implement industry-standard administrative, physical, and electronic security measures to protect your personal information from unauthorized access, loss, or alteration. All credit card details are encrypted and securely processed directly by Stripe — we never store your full payment card details on our own servers.

7. Data Retention

We retain your personal and vehicle information as long as your account remains active or as needed to provide you with services. DOT annual inspection records are legally retained for a minimum period of 14 months from the inspection date, as mandated by federal regulations.

8. Cookies & Local Storage

Our application uses essential cookies and browser local storage to remember your authentication session, preferred interface language, and theme choices (light/dark mode). You can configure your browser to decline cookies, but doing so may impact certain functionalities of our portal.

9. Children's Privacy

Our services are intended for commercial vehicle owners, fleet operators, and business customers and are not directed at, or intended for use by, individuals under the age of 18. We do not knowingly collect personal information from minors. If we learn that we have inadvertently collected information from a minor, we will take steps to delete it promptly.

10. Your Privacy Rights

Depending on your state of residence, you may have the right to request access to, correction of, or deletion of the personal information we hold about you, and to opt out of receiving non-essential communications such as marketing emails or push notifications. To exercise any of these rights, contact us using the information below; we will respond within a reasonable time and may need to verify your identity before fulfilling certain requests. Some information, such as DOT/FMCSA inspection records, must be retained for the legally required period even after a deletion request.

11. Data Breach Notification

In the event of a security incident that compromises the confidentiality or integrity of your personal information, we will notify affected individuals and any applicable regulatory authorities in accordance with the timelines and requirements of applicable state and federal law.

12. Changes to this Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. We will notify you of any material changes by posting the updated policy on this page with a new "Last Updated" date.
